Send a series of emails to your contacts over a period of time using the Mail Campaigns’ Sequence option.
A sequence is a series of emails sent to contacts over a period of time.
The Mail Campaigns extension will guide you through the steps to create a Sequence, but you can find them also below.
Create a new Sequence campaign
You can create a new sequence campaign in one go, and the steps can be divided into different stages.
Get started with your new Sequence
- From your WP Admin, go to Mail Campaigns → New Campaign.
- Select Email Sequence, and click the Continue button.
- From the Campaign Screen, enter a sequence name in the “Name this Sequence” field. The name will identify the sequence internally and not be shown to the recipient contacts.
- In the “Send Email From” section, select the mail delivery profile used to send your sequence. If you have not already created at least one mail delivery method, follow this guide to do that, and come back to finish creating your sequence.
- In the “Send on Days” section, check the boxes for the days you want the sequence emails sent.
- Click the Continue button.
Select a segment recipient for the new sequence campaign
A sequence can be sent to contacts within a segment or to contacts with or without a specific tag.
Send to a Segment
- If you haven’t created any segments, you’ll be prompted to create one. You can either add a new segment or create an advanced segment.
- Choose the desired segment from the “Choose a Segment to send this email to” dropdown list.
- Click the Preview Audience button to see the recipients of the sequence.
- Click the Continue button.
Select a tag recipient for the new sequence campaign
You can use tags instead of segments to add or exclude contacts in/from your recipient.
To use tags for the recipient creation, you need to have created tag(s) and assigned them to the desired contacts. You can follow this guide to do that.
If you have Tags defined, follow these steps:
- Click the Use Tags option instead of the default “Send to a Segment” option.
- Select the “Has Tag” option from the dropdown menu to create your recipient based on a specific tag.
- To send the broadcast to all contacts without a specific tag. Select the “Does not have Tag” option from the dropdown menu, and choose the particular tag from the tags menu to exclude the tagged contacts from the recipient list.
- Click the Preview Audience button to preview the contacts to which the sequence will be sent.
- Click the Continue button.
Please note that when using the Tags option to define your recipient list, you can select only one tag per recipient. Using Segments is a better option if you need to include contacts with multiple tags.
Set up the initial message of your new sequence
The “Mail Step: Welcome” section shows all the emails in the sequence.
Jetpack CRM automatically creates the first “Welcome” email in the sequence for you. Follow these steps to edit that email:
- Select an email template in the “Select a Starting Template“ section on the right.
- Click the Write Email button.
- If needed, change the subject line’s default “Welcome” text to your choice.
- Write your email content. Check the Broadcast page to learn more about placeholders and the email editor. We recommend including the ##UNSUB-LINE## placeholder in all Sequence emails. This line allows contacts to unsubscribe from mail campaigns. Unsubscribe links are required by law in many localities.
- Click the Preview button at the top of the email to preview it.
- If you are adding more emails, be sure not to click on the Save and Complete button. Instead, follow the directions to add more emails to the sequence.
Add more emails to the sequence
Follow these steps to add additional emails to the sequence:
- Click the Add Mail button in the “Steps” section on the left.
- Click on the new Draft: New Mail sequence tab created under the Welcome email.
- Select an email template in the “Select a Starting Template” section.
- Click the Write Email button.
- Edit the subject line with your preferred text.
- Write your email accordingly and as per the steps mentioned above.
- Click the Preview button at the top of the email to preview it.
- You can delete the email if you need to via the Delete Step button.
- Repeat steps 1-7 to add as many emails to the sequence as needed.
- If you need to space the emails in time, don’t click Save & Complete (see below).
Add delays between emails in the sequence
By default, Jetpack CRM will automatically send all emails in a sequence, one after another.
You can space out the emails to be sent out in your desired timeframe. For example, you might want to send one email per day or one email every five days.
Follow these steps to add delays to your sequence:
- In the “Steps” section, click the Add Delay button.
- Click on the new 5 Day Delay sequence tab to open its settings editor on the page.
- Specify a Delay between steps. Replace the number 5 with your desired number in the “Wait 5 days.” section.
- You can move the new Delay sequence tab (or any other email in the sequence) wherever you want it to appear within the sequence.
- Repeat steps 1-4 to add as many delays to your sequence as possible.
When you’re done creating and adjusting all of the emails and delays in the sequence, click the Save & Complete button.
Sequence delivery screen
The Sequence Summary section gives you an overview of the sequence. You can review:
- The sequence’s campaign name.
- A summary of how many emails will be sent over how many days.
- The mail delivery method (sender) that will be used to send the emails.
- The number of contacts the emails will be sent to and which method (segment or tags) determines those contacts.
To make final changes to the sequence, click on the steps at the top of the page: Campaign, Recipients, Mail Steps, or Delivery. This will bring you back to the steps you have already gone through (see above)
After you’ve made all your changes and are back on the final “Delivery” screen, click the Start Sequence button.
The sequence will automatically be sent to new contacts who match the sequence criteria.
Accessing your sequences
You can access your sequences anytime and make adjustments before sending them out from WP Admin → Mail Campaigns → Sequences.
