Create a broadcast with Mail Campaigns

You can send a single email to your contact list using the Mail Campaigns’ Broadcast option.

A broadcast is a single email sent to contacts at the same time. Once installed and activated, the Mail Campaigns extension will guide you through creating a new Broadcast.

Create a new broadcast

There are different steps to take when creating a new broadcast campaign. You can find them below.

Give a name to your broadcast campaign

  1. From the WP Admin, head to Mail Campaigns → New Campaign.
  2. Select Single Email, and click the Continue button.
  3. Enter the title of your new campaign in the “Name this broadcast” field. The name will identify the broadcast internally and not be shown to contacts.
  4. Enter a subject in the Email Subject field. This will appear as the subject line in the email sent to contacts.
  5. You can insert personalized details in the subject line. For example, if you want to include the contact’s name in the subject line, click Insert Personalisation and select First Name from the drop-down list. You can also use custom fields associated with your contacts.
  6. To use this feature, you need to have at least one mail delivery profile set up. Select the mail delivery profile from which you want the broadcast email sent, and click the Continue button.

Select a segment recipient for the new broadcast campaign

A broadcast can be sent to contacts within a segment or contacts with a certain tag.

  1. If you haven’t created any segments, you’ll be prompted to create one. You can either add a new segment or create an advanced segment.
  2. Once you have at least one segment, select the desired segment for the broadcast from the dropdown list.
  3. Click the Preview Audience button to preview the contacts who will receive the broadcast. Otherwise, click the Continue button to proceed to the next step of the campaign creation.

Select a tag recipient for the new campaign

You can use tags if you don’t want to select any segments as recipients.

  1. Click the Use Tags box.
  2. You can either send the broadcast to all contacts with a specific tag by selecting the “Has Tag” option from the dropdown menu or select the specific tag from the tags menu to create the recipient list.
  3. Alternatively, you can send the broadcast to all contacts without a specific tag. Select the “Does not have Tag” option from the dropdown menu, and choose the particular tag from the tags menu to exclude the tagged contacts from the recipient list.
  4. Click the Preview Audience button to preview the contacts who will receive the broadcast. Otherwise, click the Continue button to proceed.

Please note that you can pick only one tag per recipient when using the Tags option to define your recipient list. Segments are better if you need to add contacts with multiple tags appended.

Write your broadcast message

This is where you decide how the email will look and type in the actual email text.

  1. Select an email template, and click the Continue button.
  2. Depending on your chosen template, there will be a default email with placeholders. You can customize the template as you wish. Mail Campaigns features a built-in WYSIWYG editor for customizing your HTML emails.
  3. The content in the Message Body editor will be sent to your contacts.
  4. Don’t forget to include the ##UNSUB-LINE## placeholder in all broadcast emails, which we highly recommend. Many local laws require this placeholder, so you can ensure your contacts can unsubscribe from mail campaigns anytime.
  5. When your email is ready, you need to test it by sending a test email. Enter the email address you want to receive the test campaign in the “Send Test Email to Continue” field, and click the Send Test Email button.
  6. Once Jetpack CRM has successfully sent the test email, click the Continue button that appears.

Please note that email clients handle formatting differently from web browsers, so manually adjusting HTML/CSS may cause unexpected results.

If alignment issues persist, consider simplifying the layout instead of modifying the code.

Sending the broadcast

The Mail Summary section overviews the broadcast email and the number of contacts it will be sent to.

From here, you can choose when the broadcast email is sent out:

  • Send the campaign now.
  • Schedule it.
  • Leave the campaign open and automatically send it to all new contacts belonging to the selected segment or tagged accordingly.

After you’ve selected your delivery settings, click the Send Now button to send the broadcast.
