A company in Jetpack CRM groups contacts under a single record, so you can see everyone you work with at an organization in one place.
This guide explains how to turn companies on, create one, assign contacts to it, and what a company record can and cannot do.
Turn on companies in Jetpack CRM
Companies come from the B2B Mode core module. B2B Mode is part of the free Jetpack CRM plugin and is enabled by default from version 4.0.8, so most sites already have companies available.
To check or enable it:
- Log into your site’s WP Admin dashboard.
- Go to Jetpack CRM → Core Modules.
- Locate the B2B Mode module. A red x means it is disabled.
- Click the B2B Mode module to activate it. The red x changes to a green checkmark.
Once B2B Mode is active, Companies appears alongside Contacts in your CRM menus.
Once B2B Mode is active, Companies appears alongside Contacts in your CRM menus.
Create a company
To create a company entry from scratch:
- Go to Jetpack CRM → Companies → Add new company.
- Fill in the company information.
- Click Save Company at the top of the page.
Assign contacts to a company
A company groups contacts, and each contact belongs to one company.
- Go to Jetpack CRM → Contacts.
- Click the contact you want to assign, then click Edit Contact.
- In the Company box, start typing the company name and select it from the list of matches.
- Scroll to the top of the page and click Update Contact.
What you can do with a company record
A company record is a way to group contacts. It does the following:
- Groups contacts. A company holds any number of contacts, and each contact’s record links back to the company.
- Holds invoices and transactions of its own. You can assign an invoice or a transaction directly to a company.
- Accepts tags. Company tags (also called labels or categories) work the same way as contact tags, and you can add as many as you need.
- Accepts custom fields, so you can record information specific to your business.
- Supports custom tabs on the company view.
- Imports and exports through CSV, and is supported by the Jetpack CRM API.
What companies cannot do
A company record is deliberately simple, and knowing its limits saves time when you are planning how to organize your CRM:
- A company cannot log in to the Client Portal. Client Portal access and logins are for contacts only, and a company’s contacts cannot see the company’s invoices in their own portal.
- Quotes cannot be assigned to a company. You can create quotes against a contact instead.
- Contact totals do not roll up to the company. Invoices and transactions assigned to a contact keep their values on that contact, and those values do not appear on the company list view or the company’s single view. The reverse is also true: a company’s own invoices and transactions do not appear on its contacts.
- A contact belongs to one company at a time. To move a contact, edit the contact and select a different company.
- Companies cannot be nested. There is no parent-company or multi-tier hierarchy.
Use a contact record for company billing and portal access
If you need one of the things a company record cannot do – like a single Client Portal login for an organization, a quote, or one running total of everything the organization has been billed – you need to create a contact that represents the organization itself.
- Go to Jetpack CRM → Contacts → Add new contact.
- Enter the organization’s name in the Name field, and its billing details in the contact fields.
- Click Save Contact.
- Assign the organization’s invoices, quotes, transactions, and Client Portal access to this contact.
Keep the individual people at the organization as their own contacts, assigned to the company record, so you still have the company view to group them. The organization then appears twice: as a company that groups its people, and as a contact that holds its billing and portal access.
Import and export company data
Export companies:
- Go to Jetpack CRM → Companies.
- Check the box next to each company you want to export, or click the checkbox at the top of the page to select all companies.
- From the Bulk actions dropdown, select Export.
- All company fields are selected by default. Click any field you do not want to include to deselect it.
- Scroll to the bottom of the page and click Export to download a CSV file.
Importing companies, including company custom fields, requires CSV Importer Pro with B2B Mode enabled.
Tag companies
Add tags to a company the same way you add tags to a contact or a WordPress post, and use as many as you need. When you export companies, multiple tags appear in one CSV column separated by a pipe character.
